Position Description:

The Leadership Louisville Center is the region’s leadership development hub offering programs and events designed to educate participants about community issues, strengthen leadership skills and connect participants with opportunities for civic involvement. Leadership Louisville Center’s programs, events, and initiatives provide tangible benefits to individual participants, sponsoring organizations, and the community at large.

The event specialist is a full-time, non-exempt position and is a contributing member of the events team with responsibility for supporting LLC community leadership programs, facility rentals, various marketing, member events, and other events as needed. This position is responsible for logistics and production support and will report to the event manager. Events range from day-long training-style meetings and conferences to special events and seminars of various lengths ranging from 10 to 1000 participants.

Responsibilities:

The responsibilities of this position include, but are not limited to:

Handle planning and execution for LLC events and programs, ensuring exceptional service and high-quality programs, workshops, and activities. This includes venue selection, food, and beverage, a/v, materials & supplies, reconciliation of invoices, etc. from start to finish.

The event specialist maintains quality control for an overall excellent program participant experience. Specific roles in activities are:

  • Selecting venues that fit with program and event themes, and conducting site visits to ensure compatibility.

  • Able to order catering and other event supplies from various vendors for different groups, managing dietary needs, and allergies for attendees.

  • Compile and produce program/event materials (e.g., nametags, agendas, certificates, speaker bios, sign-up sheets, and other handouts).

  • Schedule tours for program participants of different nonprofit, arts, and cultural attractions (depending on program needs).

  • First to arrive and last to depart on program days, providing initial set-up for the event and remaining onsite to manage details, and leading tear-down when the event concludes.

  • Manage resources against budget, using prudence and good judgment, taking initiative in making recommendations, and anticipating the next steps for successful execution.

  • Creates and shares event evaluations and other post-program materials, compiles and reports evaluation responses.

  • Identify and solve problems within the scope of responsibility. Takes ownership of tasks until they are successfully completed.

The event specialist contributes to the facility experience at LLC, maintaining a welcoming and hospitable space for guests, including support of the reception desk and event set-up and clean-up for events hosted within our facility.

The event specialist will need to be flexible and assist with new and ongoing projects that may arise.

Skills and Qualifications:

The ideal candidate will possess the following skills and qualifications:

  • Some professional experience in program/event planning and execution or administration is preferred.

  • Punctual and dependable, detail-oriented with superior organizational ability, and someone who asks good questions to ensure understanding of expectations.

  • Positive attitude and enthusiastic self-starter with the ability to be proactive, juggle multiple tasks, identify priorities and anticipate the next steps needed. Can be productive both individually and in a cooperative team environment.

  • Excellent communication skills, both written and interpersonal, and demonstrated ability in building and maintaining professional relationships with partners, business and community leaders, and vendors.

  • A strong interest in community issues and the nonprofit sector is desired.

  • Must possess a personal vehicle for transporting supplies and equipment offsite as needed.

  • Ability to move supplies and equipment weighing up to 50 pounds around the building and to various venues around the community for events and programs.

  • Post-secondary degree or certificate in event planning or related field preferred.

Due to the nature of the work and timing of programs and events, the event specialist must be able to work some early mornings and evenings, and four Saturdays per year. This position will work 2-3 overnight events per year (typically retreats within 75 miles of Louisville).
